Who are ‘we’ ?

In this policy ‘we’, ‘us’ and ‘our’ refers to the owner of Filly Green Cottage, 8 The Green, Nettleham, Lincoln, LN2 2NR

The type of personal information we collect 

We collect and process only the information relevant for the purpose of which it is required. This may include for each guest: name, postal address, email address, contact telephone number, nationality and date of birth. For guests who are not British, Irish or Commonwealth, we may also be required to collect: passport number and place of issue (or other document which showing identity and nationality) and details of your next destination (including the address, if known). 

Payment Processing

We use Stripe to process credit and debit card payments and for analytics and other business services. Stripe collects identifying information about the devices that connect to it’s services in order to operate and improve the service it provides to us, including the detection of fraud. How we get the personal information and why we have it

Most of the personal information we process is provided to us by you, or the person in your party making the booking. The information may be given by filling in forms on our website, our online booking system, corresponding with us via email, writing, telephone, communicating with us in person, or if you contact us through our social media functions such as for the purpose of a promotion or giveaway.

We also receive personal information indirectly from enquiries and bookings you make with us through a third party, such as an online travel agent. 

We collect this information to enable us to:

  • respond to an enquiry you make
  • process your booking
  • communicate with you in regard to your stay with us
  • check you in and out of the property
  • fulfil legal obligations

We may share your personal information with third parties in certain circumstances, such as when:

  • It is necessary for the purpose of processing your booking, such as if you book through an online travel agent
  • It is necessary to provide you with the service 
  • A legal matter or complaint arises
  • We are legally required to do so

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is contractual. 

How we store your personal information 

We strive to ensure your personal information is stored securely and protected from unauthorised or unlawful access, accidental loss, destruction or damage. We store the minimum amount of personal data for the minimum of time pertaining to the purpose for which it is required. For example, we are legally required to store the identification details of each guest for a minimum of twelve months after departure and we are legally required to keep financial records for up to seven years. Once the relevant amount of time has expired, we will securely delete personal data that is no longer required. 

Our booking system is powered by Beds24. Beds24 is a data processor providing us with Software as a Service, and is GDPR compliant.

Your data protection rights

Under data protection law, you have the right to ask us for copies of your personal information, and to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. You have the right to ask us to erase your personal information, however, this request may not override requirements to hold information under other legislation. For example, we are required by law to keep financial records for up to seven years, therefore we will only be able to erase this information once the relevant period of time has expired. 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
